Position: Adult Events & Outreach Assistant, Adult Events & Outreach, Hughes Main Library | Pay: $19.29 per hour, plus benefits
Position works 37.5 hours per week Annual salary: approximately $37,611 |
Status: Regular Full-time, Non-Exempt | Available: March 2025 |
Location: Hughes Main Library, 25 Heritage Green Place, Greenville, South Carolina | |
Schedule: Mon. – Fri. 8:30a-5:00p. Works some evening and weekend hours as needed for events, programs, and outreach. |
FUNCTION
Under direct supervision of the Adult Events & Outreach Manager, the person in this position:
- Provides clerical assistance for the Adult Events & Outreach unit, with the goal of keeping records and statistics up to date, calendars and documents organized, and related communication within and outside of the Library System clear and timely.
- Assists in the planning and execution of adult events and outreach activities.
- Enthusiastically provides knowledgeable and meaningful assistance to fellow staff and patrons.
- Performs duties with careful attention to detail.
- Embodies the Library System’s code of service by creating an atmosphere where customers and coworkers feel invited, informed, impressed and inspired.
- Performs work in accord with the Library System’s vision and mission, using good judgment in the application of policies and established procedures.
MINIMUM TRAINING & EXPERIENCE
Required:
- 30 college credit hours through an accredited college or university.
- Two years of experience working with the public.
- Recent experience at the intermediate level with Microsoft Word.
- Experience using Microsoft Excel and various Internet browsers and email.
- Other combinations of experience, education, and training may be considered.
Preferred:
- Experience planning and executing programs or events.
- Experience acting as a representative of an organization at community events.
- Experience with data entry and other administrative work.
PHYSICAL REQUIREMENTS
Must have the ability to:

ADDITIONAL REQUIREMENTS
- Occasional use of a personal vehicle with mileage reimbursement.
- Valid driver’s license.
- Occasional weekend and evening work.
EXAMPLES OF WORK PERFORMED

- Performs various administrative duties including, but not limited to, data entry, making copies, filing, typing, shredding, running errands, and processing mail for the Adult Events & Outreach unit. (E)
- Assists with planning, implementation, and evaluation of events for adults at the Main Library, including asynchronous programming. (E)
- Assists with the scheduling and coordination of events for adults at all Library System locations as well as adult programs and outreach at non-Library System locations. (E)
- Coordinates set-up and technical assistance for the Main Library’s meeting rooms in collaboration with other staff. (E)
- Formats event details for publication in the Library System’s Event Guide and online event calendar, with instruction and input from the Adult Events & Outreach Manager, Adult Events & Outreach Coordinator, and Communications. (E)
- Inputs event details into the Library System’s online event calendar once they have been finalized. (E)
- Updates online event calendar, as needed, to reflect changes made by programming staff. (E)
- Creates registration lists for events developed by the Adult Events & Outreach unit for the Main Library. (E)
- Participates on the committees for large-scale events and initiatives for adults (e.g., Winter Reading Program, Southern Author Fest) and records meeting minutes or other documentation as needed. (E)
- Assists with the implementation of meetings and training related to adult events and outreach, including Programming Roundtables and Presenter Boot Camp. (E)
- Maintains the master inventory of adult event supplies for the Library System, in coordination with programming staff at all locations. (E)
- Organizes supplies for the Adult Events & Outreach unit and requests additional supplies when needed. (E)
- Assists staff at the Main Library with requesting and organizing program-related supplies. (E)
- Maintains files related to the Adult Events & Outreach budget. (E)
- Assists in preparing and filing paperwork for programming-related reimbursements and honoraria. (E)
- Assists with virtual program creation, moderation, and instruction, and recording/filming/editing of events and other activities. (E)
- Distributes equipment and promotional materials to Library System branches and non-Library System locations in support of adult programming and approved outreach activities. (E)
- Offers feedback on procedures related to adult programming and outreach. (E)
- Responds to program proposals from outside sources and requests from the public with direction from the Adult Events & Outreach Manager. (E)
- Helps staff Library System adult events, outreach events, and offsite programs. (E)
- Assists volunteers, presenters, and staff during implementation of adult programs and outreach activities as needed. (E)
- Understands, communicates, and enforces the Library System’s Code of Conduct and other policies, procedures, and rules to customers. (E).
- Attends library meetings, training programs, workshops, and conferences as requested by supervisor. (E)
- Ensures safe work methods are followed to prevent injury. (E)
- Works a schedule that meets the needs of the unit. (E)
- Maintains regular and reliable attendance and remains compliant with the Library System’s Attendance Guidelines. (E)
- Performs related duties and responsibilities as assigned.
REQUIRED KNOWLEDGE, SKILLS/ABILITIES & CHARACTERISTICS
(Testing of computer skills may be part of the interview process for this position.)
Knowledge:
- Knowledge of basic computer, mouse and keyboard use.
- Knowledge of Windows operating system, MS Office, Google Suite, various Internet browsers, and email.
- Knowledge of business English and math.
Skills/Abilities:
- Ability to follow policies and established procedures and to perform work requiring considerable attention to detail, including receiving information and instructions from a supervisor.
- Ability to communicate concepts, general information, and task-oriented information in oral, written, and electronic forms.
- Ability to use customer service skills to provide positive interactions for staff, patrons, and community organization representatives.
- Ability to prioritize, meet deadlines, and manage changing priorities and multiple tasks.
- Proficient in the use of office machines including computer, calculator, printer, copier, etc.
- Proficient in the use of Windows operating system, Microsoft Word and Excel, Google Workspace applications (Drive, Forms, Sheets, and Docs), various Internet browsers, and email.
- Ability to proofread written materials and prepare neat and accurate documents.
- Ability to learn and be proficient in the Library System’s calendar/scheduling software and the integrated library system (ILS) database used to create and manage patron accounts.
- Ability to perform routine tasks efficiently and without difficulty.
- Preferred: Touch typing skills.
