Position: Administrative Coordinator, Administration, Hughes Main Library Pay: $20.35 per hour, plus benefits
Position works 37.5 hours per week
Annual salary: approximately $39,673
Status: Regular Full-time, Non-exempt Available: January 2026
Location: Hughes Main Library, 25 Heritage Green Place, Greenville, South Carolina
Schedule: Monday – Friday 8:30a-5:00p. Works 37.5 hours per week.
FUNCTION
Under direct supervision of the Administrative Projects Manager, the person in this position:
• Schedules use of meeting spaces of the Main Library.
• Serves as the lead receptionist for the Main Library’s reception area and phone system.
• Coordinates a variety of activities for administration.
• Greets customers and coworkers to the Administrative reception area with a welcoming smile.
• Enthusiastically provides knowledgeable and meaningful assistance.
• Performs duties with discretion when handling sensitive information and/or materials.
• Embodies the Library System’s code of service by creating an atmosphere where customers and coworkers feel invited, informed, impressed and inspired.
• Performs work in accord with the Library System’s vision and mission, using good judgment in the application of policies and established procedures.
MINIMUM TRAINING & EXPERIENCE
Required:
• Two years of college-level work from an accredited college or university.
• Two years of experience working with the public in a secretarial, administrative, or public relations position.
• Recent experience at the intermediate level with Microsoft Word.
• Experience using Microsoft Excel and various Internet browsers and email.
• Other combinations of experience, education, and training may be considered.
PHYSICAL REQUIREMENTS
Must have the ability to:
• concentrate for long periods of time
• utilize a standard telephone system
• speak distinctly when communicating with others on the telephone and in person
• see and interpret all job-related materials
• operate Library System equipment as assigned
• occasionally lift and/or move up to 10 pounds
• sit for long periods of time

• tolerate dust and mold associated with working around paper files, books, and other library materials
ADDITIONAL REQUIREMENTS
Occasional use of personal vehicle with mileage reimbursement. Valid S.C. driver’s license required.
EXAMPLES OF WORK PERFORMED

• Greets visitors to the Administrative reception area, gives directions, and answers general Library System operations questions in a friendly professional manner. (E)
• Serves as receptionist for the Main Library’s phone system; takes messages and transfers calls to the appropriate department or individual. (E)
• Ensures daily coverage of and maintains procedures for the reception area. (E)
• Performs various administrative duties including, but not limited to, data entry, making copies, filing, typing, shredding, running errands, and processing mail for staff in Administration. (E)
• Creates and maintains various spreadsheets for the Administrative Projects Manager and Executive Director. (E)
• Handles sensitive information and materials with a high degree of confidentiality. (E)
• Schedules use of the Main Library’s meeting rooms and Board Room for Library staff as needed.
• Serves as the public’s primary point of contact for the Hughes Main Library’s meeting rooms, coordinates usage, monitors reservations, maintains the meeting room calendar, and approves meeting room applications. (E)
• Provides instruction and input on the Meeting Spaces Use Policy.
• Administers Meeting Room Enforcement Standards for patrons who have violated policy. (E)
• Works with staff on determining meeting space usage requirements and resolving space conflicts. (E)
• Trains substitutes for reception area as needed.
• Coordinates set-up, logistics, and technical assistance for the Main Library’s meeting rooms with other staff. (E)
• Maintains inventory of tables, chairs for Library System meeting rooms, and coordinates signage for meeting rooms at Hughes Main Library. (E)
• Coordinates tours of meeting rooms as needed to match user needs to appropriate accommodations. (E)
• Receives and processes payments of optional meeting spaces use service fees. (E)
• Assists Administrative Projects Manager and Executive Director with special projects as needed.
• Coordinates scheduling and delivery of staff birthday cards from the Executive Director.
• Assists in preparation for and setup of Library Board meetings and maintaining Board of Trustees minutes, records, and documents. (E)
• Assist members of the public with requests to sign up to make appearances before the Board of Trustees. (E)
• Orders and sets up meals for Board of Trustees meetings. (E)
• Receives and stamps employment applications as needed on behalf of Human Resources. (E)
• Ensures safe work methods are followed to prevent injury.
• Keeps records accurate and up-to-date and maintains a neat and professional work area appropriate for a public services desk. (E)
• Works a schedule that meets the needs of the unit including an established lunch break. (E)
• Maintains regular and reliable attendance and remains compliant with the Library System’s Attendance Guidelines. (E)
• Performs a variety of administrative and related duties and responsibilities as assigned.
REQUIRED KNOWLEDGE, SKILLS/ABILITIES & CHARACTERISTICS
(Testing of computer skills may be part of the interview process for this position.)
Knowledge:
• Knowledge of basic computer, mouse and keyboard use.
• Knowledge of Windows operating system, MS Office, various Internet browsers and email.
• Knowledge of business English, spelling and arithmetic.
Skills/Abilities:
• Ability to follow policies and established procedures and to perform work requiring considerable detail, including receiving information and instructions from supervisor.
• Ability to communicate concepts, general information, and task-oriented information in oral, written, and electronic forms.

• Ability to proofread written materials and prepare neat and accurate documents.
• Ability to learn and be proficient in the Library System’s calendar/scheduling software and the integrated library system (ILS) database used to validate patron account information.
• Ability to maintain a high degree of confidentiality.
• Ability to perform routine tasks efficiently and without difficulty.
• Preferred: Touch typing skills.
